Answer

# Excel vs ERP: when has my business outgrown Excel?

By the ESSENSE team · Last updated 31 October 2026

Short answer
Excel is excellent for one person working with numbers. It breaks when many people edit the same data, when the same figure lives in several files, and when you need history and permissions. You have outgrown Excel when mistakes come from copying data, not from the work itself. That is when an ERP pays for itself.

## How do Excel and ERP compare?

Compared onExcelERP
Best forOne person, analysis, quick listsMany people, daily operations
Single source of truthNo: copies multiplyYes: one record, many views
Who changed whatHard to knowEvery change recorded
PermissionsWhole file or nothingBy role and by screen
Real-time pictureOnly after someone updates itAs work happens

## What are the warning signs?

- Files named “final”, “final 2” and “final latest”.

- Someone spends hours every week combining sheets.

- A wrong formula once cost you money and nobody noticed for weeks.

- Only one person understands the main workbook.

## Do you have to give up Excel?

No. Keep Excel for analysis. Move the daily work, such as orders, stock and production, into a system where everyone works on the same record, and export to Excel whenever you want.

## Frequently asked questions

### Is ERP only for large companies?
No. A small business can start with one or two modules that solve its biggest problem and add more later.

### Can my existing Excel data be moved into an ERP?
Yes. Data is cleaned, checked and imported as part of the project, so you start with your real history.

### What is the first step?
List the three spreadsheets that cause the most trouble. They usually show which module to build first.
